Job Summary
Under the direction of the HIM Operations Manager, the HIM Operations Supervisor maintains the integrity of the Enterprise Master Patient Index (MPI) and facilities synchronization of all impacted databases through the organization and is responsible for the day-to-day operations of the Records Analyst, ROI Analyst, Vital Records, Health Record Integrity, Medical Staff Deficiency, and other teams as needed. The HIM Operations Supervisor provides staff with support, supervises the operational workflow; monitors employee performance; addresses complaints and resolves problems; and actively oversees and supervises production and quality control efforts. This position monitors compliance with all federal privacy and compliance standards. Monitors staff quality and productivity and department key performance indicators to ensure department success. Performs all functions of the Operations team as needed.
Minimum Job Qualifications
Licensure or other certifications:
Educational Requirements: High School Diploma or GED
Minimum Experience: Minimum three (3) years in acute care Health Information Management experience required. Record analysis experience required.

Preferred Licensure or other certifications: RHIA, RHIT, or an approved specialty credential.
Preferred Educational Requirements: Associates Degree
Preferred Experience: Leadership experience in healthcare related field preferred.

Maintains the integrity of the Enterprise Master Patient Index (MPI) and facility synchronization of all impacted databases through the organization and serves as an expert recourse for the Heath Record Integrity (HRI) team.

Essential Tasks and Responsibilities
Responsible for the day to day operations of the Records Analyst, ROI Analyst, Vital Records, Health Record Integrity, Medical Staff Deficiency, and other teams as necessary.
Coaches and mentors team to ensure employee growth and success. Responsible for directing the onboarding, training and provides support for new team members.
Works with the HIM Operations Manager for all human resource management including hiring, counseling, corrective actions, management of timekeeping, performance evaluations and termination of employees.
Assists HIM Operations Manager/Director in the review and improvement of processes and services.
Serves as Super User and Subject Matter Expert for HIM Operations.
Coaches, facilitates, escalates work problems, and participates in the work of the team.
Ensures adherence to all governmental regulations for Health Information Management, specifically Release of Information (ROI) and protection of personal Health Information (PHI), and DNV Requirements.
Develops and promotes the use of standard work (SOW) and competencies for the team. Provides training and on-going support to all members of the HIM Operations team and other members of the Revenue Cycle Department, as well as other key stake holders.
Assists in strategic planning and budgeting of the HIM Department.
Communicates effectively with leadership, physicians, and team relating to potential compliance risks to mitigate damages and resolve related issues.
Manages, leads and participates in interdepartmental/multidisciplinary team meetings, committees(s).
Serves as a "working" supervisor having the ability to assist the department with any tasks should the need arise.
Utilizes organization and prioritization skills in their daily tasks. Utilizes time management skills to ensure completion of daily processes.
Responsible for ensuring that customer questions and problems are resolved properly and quickly. Address challenging customers and problems that require escalation.
Remains in good standing with all NGHS policies including those related to attendance, positive attitude, and staff development.
Other duties as assigned.
